Grandlife Hotels Sales Coordinator - Entertainment
Role Overview
The Entertainment Sales Coordinator provides support to the Director of Entertainment Sales for The Roxy Hotel and The Soho Grand Hotel. Responsibilities include quoting, contracting, booking and servicing the Entertainment market. The person in this role is expected to be extremely detail-oriented and an effective multi-tasker. They must familiarize themselves with and help to grow all current accounts as well as assist with new business development through research and qualified lead generation to help the segment achieve its budgeted room revenue goals and quarterly activity targets. This individual also has a keen sense of style, a passion for downtown life & culture, and an innate understanding of the GrandLife Hotels brand.
Responsibilities
· Assist the Director of Entertainment Sales to execute sales actions, achieve segment’s budgeted room revenue goals and activity targets, produce required reports, business review forms, or other documents/projects as directed
· Build and maintain strong customer relationships through appropriate client communication and the use of professional, courteous and ethical interpersonal interaction
· Develop strong knowledge of hotel features / benefits (amenities, services, attributes, etc.), systems (Opera, Salesforce, etc.), develop advanced knowledge of rates / strategies / discounts / promotions, hone detailed understanding of competitive set to overcome objectives, negotiate with clients and increase overall conversion
· Draft accurate, formal rate quotes for all inquiries (Group, Consortia, Select & Individual) in a timely and professional manner, regularly follow up on all pending Entertainment inquiries
· Log all proposals, groups and activities for themself and their manager by EOB daily
· Service all Entertainment groups & bookings including daily amenities, processing of rooming lists, detailing of riders, drafting group resumes/VIP bulletins, applying billing, processing pickup reports and handling final settlement of open balances
· Responsible for effectively communicating with the hotel’s various departments to prepare for VIP arrivals and to ensure that the guest / group experience during their stays meet the advanced directive and exceed the client’s expectations
· Assist in the RFP and local account renewal process for Entertainment Select accounts, prepare rate loading instructions for accepted accounts, update internal trackers, assist with GDS visibility checks and/or testing booking links
· Maintain well documented, accurate, organized and up-to-date file management to serve both client and employer in the most expedient, organized and knowledgeable manner
· Monitor production of all entertainment accounts and evaluate trends within the Entertainment industry for business intelligence and development
· Build out, update and maintain various Entertainment prospecting tools including the tour calendar and top account databases by adding dates/announcements / new contacts uncovered in research / outreach
· Research business opportunities and new qualified contacts for the Director of Entertainment Sales to further prospect
· Assist with site inspections, on-site & off-site sales appointments/events and hosted client entertainment to exhibit key features and benefits of our properties
· Provide seamless out-of-office support while the Director of Entertainment Sales is travelling.
Requirements
QUALIFICATIONS
· Highly developed customer service skills
· Excellent verbal and written communication skills
· Organized, meticulously detail oriented, efficient multi-taker
· Ability to work well as part of a team and report back to Dir of Ent Sales and ADOS
· Prior upscale hotel sales experience a strong plus
· College degree preferred
ABILITY TO
· Efficiently work with Microsoft Office programs including Office, Excel and PowerPoint
· Use operating systems, sales programs and databases such as Opera, Salesforce, Agency 360, Pollstar, etc.
· Navigate the nuances of the entertainment industry with knowledge of the market
· Work with celebrity and high net worth individuals discretely and delicately to ensure their privacy and confidentiality

Pay: $70,000.00 per year
